Automation in CRE Should Help People Do the Right Thing at the Right Time

Automation is one of those words that can sound bigger and more complicated than it needs to be.

In commercial real estate, automation does not have to mean replacing people or building something overly technical.

Sometimes, the best automation is simple.

A reminder.
A status update.
A dashboard refresh.
A notification that keeps an opportunity from slipping through the cracks.

During my time leading marketing for Colliers in Houston, one of the most valuable workflows we built was an automated reminder process for upcoming lease expirations.

It was not flashy.

But it solved a real business problem.

Why reminders matter in CRE

Lease expirations are easy to understand, but hard to manage at scale.

If a broker is reminded early enough, they have time to strategize, communicate with the client, and protect the relationship.

If the reminder comes too late, or does not come at all, the opportunity may be missed.

That is where automation can create real value.

Not because it replaces the broker’s judgment, but because it supports it.

The system does not do the relationship work.
It does not make the call.
It does not create the strategy.

But it helps make sure the right person has the right information at the right time.

Automation should reduce friction

The best automation does not make people work harder to use it.

It removes steps.

It reduces duplicate entry.
It keeps information moving.
It sends reminders without someone manually tracking every date.
It gives teams visibility without another meeting.
It helps leaders see what is happening without chasing updates.

That was the larger benefit of the Smartsheet and HubSpot integration.

The tools were connected, but more importantly, the workflow was connected.

Updates happened faster. Reports stayed more current. Broker reminders became more proactive. Marketing activity became easier to track and evaluate.

Efficiency creates capacity

One of the biggest wins from stronger systems is not just saving time.

It is creating capacity.

When teams spend less time copying, pasting, auditing, searching, and reformatting, they have more time for higher-value work.

Strategy.
Positioning.
Client service.
Campaign planning.
Broker support.
Business development.

That shift matters.

Marketing teams in CRE are often asked to do a lot with limited resources. Better systems help the same team support more work without everything depending on memory, manual effort, or last-minute heroics.

The Five24 perspective

Automation should not be about adding complexity.

It should be about reducing it.

At Five24 Solutions, we help CRE firms identify the repeatable moments where better workflows can improve speed, accountability, and client service.

Because the goal is not to automate everything.

The goal is to make the important things easier to see, easier to manage, and harder to miss.
